Privacy Notice 

For users of the KEYES website 

Respect for privacy is a fundamental value for KEYES. In an increasingly digital environment, KEYES may be required to collect and process certain of your personal data for the purposes set out in this Privacy Notice. KEYES is committed to processing and protecting your personal data in strict compliance with applicable data protection regulations and, in particular, Regulation (EU) 2016/679 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (“GDPR”), as well as the Belgian Act of 30 July 2018 on the protection of natural persons with regard to the processing of personal data. 

We encourage you to read this Privacy Notice carefully. It explains, in a question-and-answer format, KEYES’ policy regarding the protection of personal data of users of the KEYES website. 

1. Who is the controller of your personal data? 

The controller of your personal data is the following legal entity:

2. What are the purposes and legal bases for the processing of your personal data by KEYES? 

KEYES processes your personal data: 

  • to respond to a question, request, alert or complaint, such as a request for information about KEYES products and services, open positions, etc.  
  • to process registrations for an event or training session;  
  • to manage appointments with a sales contact or any other KEYES contact.  

If you are a KEYES customer, or if a relevant relationship exists between you and KEYES, such as where you are identified as a business prospect, KEYES may use your personal data, on the basis of its legitimate interest, to contact you for commercial purposes and inform you about its products and services, unless you object to such processing. 

If you are not a KEYES customer, or if you are not identified as a business prospect, your personal data will not be used for commercial purposes unless you have expressly consented. In all cases, you may withdraw your consent at any time.  

Registration is not required to use our website. If you are simply a visitor, KEYES does not collect any personal data about you, except to a limited extent through cookies, as described below in section 8. 

3. What categories of personal data are processed by KEYES? 

For the purposes set out in section 2, KEYES processes the following contact data: title, last name, first name(s), address, phone number, email address, organisation, position, etc KEYES also processes other data relating to you, such as the description of the question, request or complaint you submit.  

KEYES does not intentionally collect special categories of personal data via its website. Special categories of personal data include: data revealing racial or ethnic origin; political opinions; religious or philosophical beliefs; trade union membership; genetic or biometric data for the purpose of uniquely identifying a natural person; data concerning health or a person’s sex life or sexual orientation; and, in certain cases, social security numbers or financial data. 

The KEYES website is not intended for use by children. KEYES recognises the importance of protecting children’s information, particularly in a digital environment, and does not knowingly collect or process personal data relating to them.      

4. Who are the recipients of your personal data? 

Staff of the relevant KEYES departments (Marketing, Sales, etc.) have access to your personal data on a strict need-to-know basis for processing in line with the purposes set out in section 2. 

Administrative and/or technical staff responsible for the proper functioning and support of the KEYES website and marketing tools may also have access to your data, in accordance with their assigned roles within KEYES.  

All KEYES staff are subject to a duty of confidentiality. 

Where applicable, other KEYES Group entities and/or relevant third parties such as partners, co-organisers of events, IT service providers, etc., may be involved in the processing of your personal data for the purposes described in section 2. 

The recipients of your data are required to respect its confidential nature and to process it only in accordance with KEYES’ instructions. 

5. Are your personal data transferred outside the EU? 

As a rule, KEYES does not itself process your personal data outside the European Economic Area (EEA). 

However, your data may be processed by the third parties referred to in section 4, which may be located outside the European Economic Area (EEA). 

Any transfer of your data to such third parties outside the EEA is carried out on the basis of a transfer mechanism compliant with the GDPR, such as the existence of an adequacy decision or the effective implementation of appropriate safeguards, for example the execution of Standard Contractual Clauses (SCCs) adopted by the European Commission for the transfer of personal data to third countries ((EU) 2021/914). 

6. Does KEYES use automated decision-making? 

Automated decisions are defined as decisions concerning individuals that are based solely on automated data processing and that produce legal effects or similarly significant effects on the data subjects. KEYES does not engage in automated decision-making as described above. 

7. How long are your personal data retained by KEYES? 

KEYES retains your personal data only for as long as necessary for the purposes described in section 2 and for a maximum period of 10 years. 

8. What is the cookie policy of the KEYES website? 

The KEYES website uses cookies to improve your browsing experience and to provide you with a more personalised browsing experience. 

What is a cookie? 

A “cookie” is a technology that allows a website to store an identifier in your browser, used solely by the website while you are visiting the website. Cookies are not used to identify users who merely visit the KEYES website. Cookies serve various functions, including enabling the website to remember visitor preferences, collect statistical data, and tailor content and/or advertisements to users.

9. How is the security of your data ensured? 

Considering the state of the art, the purposes of processing, the nature of the data to be protected and the associated risks, KEYES implements appropriate technical and organisational measures in order to protect your personal data against destruction, loss, alteration, unauthorised access or processing. 

KEYES also undertakes to limit access to your personal data to situations where such access is strictly necessary. Persons having access to your data are informed of their data protection obligations. These security measures are regularly reviewed and updated regularly to ensure an adequate level of protection. 

10. As a data subject, what are your rights regarding the processing of your personal data by KEYES, and who can you contact? 

You may contact KEYES at any time regarding the processing of your personal data, for the following requests: 

  • Access to, rectification or erasure of your personal data. 
  • Restriction of, or objection to, the processing and transfer of your personal data. 
  • Withdrawal of your consent to the processing or transfer of your personal data where such processing is based on consent (however, this will not affect the lawfulness of processing carried out prior to such withdrawal); 
  • Receipt of your data in a structured, commonly used and machine-readable format, in order to transmit them to another controller (“right to data portability”).

KEYES reserves the right to amend this Privacy Notice at any time, in accordance with the limitations imposed by applicable data protection regulations.
